WhatsApp App Privacy Policy

Last updated: 6 November 2026

This document applies to the WhatsApp app main (Meta App ID 29608409525410831), operated by Boardora LTD. Contact: [email protected].

Scope and information we process

This policy covers our WhatsApp sales and customer service assistant and its connected conversation and order systems.

When you communicate with the app, we may process:

  • Your WhatsApp phone number, profile name, message text and conversation history.
  • Names, email addresses and delivery details you provide, or that are found in matching customer, lead or order records.
  • Products discussed, order information and ordering requests.
  • Message identifiers, timestamps, delivery statuses and operational records.

Why we use this information

We use it to communicate with you, answer product enquiries, find relevant customer or order information, assist with ordering requests and investigate delivery or technical problems. Our staff may initiate a conversation using a WhatsApp template; subsequent replies may be generated by an AI assistant. The assistant can use matching customer or order records to suggest contact or delivery details for your confirmation.

Systems and external services

Messages pass through Meta/WhatsApp. Our Core system and self-hosted Dify system process and store conversation and related customer information. Authorised staff can access relevant records for customer service and administration.

We also use Unlid, an external AI API provider, to generate assistant replies. Conversation text and relevant customer or order context are sent to Unlid. This context can include contact details, delivery addresses and information about products or previous orders.

Meta/WhatsApp and external providers process information through their own services and infrastructure. Processing may take place outside your country; we do not represent this service as processing information exclusively within the European Union. Contact us if you need further information about the services involved.

Please do not send passwords, API credentials, payment-card details or unnecessary sensitive information in the chat. You can use email if you prefer to request assistance from a person.

Retention and your requests

We retain app records according to the purposes for which they are needed, including handling your conversation, relevant orders, support issues and applicable legal obligations. There is no universal automatic expiry period for conversation history. You can request deletion rather than waiting for a fixed expiry date.

Contact [email protected] to request access, correction or deletion of information associated with you, or to ask us to stop contacting you. Requests are handled manually. We may need to confirm ownership of the relevant phone number or email address. Additional rights, such as objection, restriction, portability or a complaint to a data protection authority, may apply under the law relevant to you.

Some transaction records may need to be retained where an applicable legal obligation requires it. Copies may remain in restricted backups until those backups are rotated.

See the data deletion instructions for the request procedure. This policy describes records processed for this app; it does not replace WhatsApp’s own privacy policy.
